​Policies

Below are the current policies of Olmsted Manor Retreat Center.

  • Check-IN time for Rooms is 3:00-5:00 PM, or earlier if available. Check-in for Meeting Space BEFORE these hours must be arranged ahead of arrival, with a small per hour charge.
  • Check-OUT time for Rooms is 10:00 AM. Check-out time for Meeting Space is 1:00 PM. Late check-out of Room or Meeting Space must be approved beforehand if available, with a small per hour charge for extra time in the Meeting Space.
  • OLMSTED’S CANCELLATION POLICY:
    • If Olmsted is notified IN WRITING ([email protected]) 48+ hours before 4:00 PM of arrival date of a guest’s inability to keep a reservation, any and all deposits paid are fully refundable or transferable to a new reservation date.
    • If Olmsted is notified IN WRITING LESS than 48 hours before 4:00 PM of arrival date, any and all deposits paid are NON-refundable or transferable.  
    • Any No-Shows on the date of arrival will be assessed a “Cancellation Fee” (the first night’s deposit + taxes). If the reservation is paid in full before arrival date, the remainder of paid balance will
      be refunded.
    • Cancellation as a result of a force majeure, including but not limited to, a natural disaster, terrorist attack, a pandemic and/or epidemic, or government mandate, making it illegal, impossible or inadvisable for participants to attend an event and/or directly affecting an event date, guests will have the option to transfer all event credits to a new date within one calendar year of current arrival date, or have any payments refunded.
  • TAXES:
    • All guests are charged a 6% PA Hotel Tax + 5% McKean County Hotel Tax (11%) per person per night.
      • The McKean County Hotel Tax will be waived for all ORGANIZED RELIGIOUS GROUPS.
    • PA Sales Tax of 6% will be charged on all meals.
      • Exemption of SALES tax on meals can be applied under the following conditions:
        • The organization seeking exemption must be a 501(c)(3) charitable organization, and have a current PA State Exemption Certificate starting with the number 75 on file
          with Olmsted. (Non-PA groups can apply for a PA Certificate online at PA.gov/rev-1220.)
        • Payment for the tax-exempted meals MUST BE PAID BY the tax exempted 501(c)(3) organization with a form of payment directly from the organization (check or credit card). Cash cannot be attributed to the 501(c)(3) organization and will not be accepted for tax exemption.
  • INDIVIDUAL RESERVATIONS:
    • Guest must provide a deposit of the first night’s lodging (per person incl. hotel taxes) upon making the reservation to guarantee a room.
    • Any BALANCE is due at the time of your stay. Payments can be made with Cash, Check or Credit Card (AmEx, Disc, MC, Visa).
    • Following the above Cancellation Policy, if Olmsted is notified IN WRITING more than 48 hours before 4:00 pm on arrival date, a full refund will be provided or transferred to a new reservation date.
    • Following the above Cancellation Policy, if Olmsted is notified IN WRITING less than 48 hours before 4:00 pm on arrival date, the deposit is NON-refundable or transferrable.
  • GROUP RESERVATIONS:
    • All GROUP reservations must include:
      • Group Leader or Contact Person name, phone, email, & mailing address
      • Estimated number of PERSONS and ROOMS and MEALS (with dietary restrictions) for each
        night reserved
      • Any Meeting Space if needed; early check-in to or late check-out from Meeting Space must be made in advance, if available, and will be charged a small per hour fee.
    • A DEPOSIT of the first night’s lodging per estimated person (incl. hotel taxes) MUST be paid within 14 days (if reserving more than 16 days before arrival date) or within 48 hours (if reserving less than 16 days before arrival date) of making the reservation.
      Reservations cannot be guaranteed without a paid deposit.
      • If Deposit is not made within the 14 days or 48 hours of when the reservation is made, the rooms will be released from the reserved status and the Group will have to make a
        new reservation.
      • If reservation is guaranteed with a deposit and the number of rooms or meals change, Olmsted must be notified in writing to [email protected]:
        • If lodging numbers INCREASE with notification 14+ days BEFORE arrival date, any new reservations will be dependent upon availability, and a first night’s deposit for each additional person must be paid within 48 hours of notifying Olmsted of increase.
        • If lodging numbers DECREASE with notification 14+ days BEFORE arrival date, the full deposit will be refunded for the decreased number of guests.
        • If lodging numbers DECREASE WITHIN 48 hours of arrival date, all deposits paid (of first night’s lodging) are NON-refundable for the number decreased. If not deposit was received, a “Cancellation Fee”(first night’s lodging) will be charged to the group.
        • Rooming Lists, including full names, room assignments or preferences, and any dietary restrictions must be provided to Olmsted at a minimum of 14 days prior to arrival.
  • ADDITIONAL POLICIES:
    • Smoking or use of tobacco products must be limited to outdoors ONLY and must be 30 feet from any facility. Smoking in a bedroom or balcony will incur a $100 cleaning charge.
    • As Olmsted is historically associated with the United Methodist Church, ALL ALCOHOL, ILLEGAL DRUGS, OR FIREWORKS are PROHIBITED anywhere on the Olmsted property, in accordance with the United Methodist Church Social Principles.
    • Due to fire code restrictions, the USE OF CANDLES IS NOT ALLOWED without permission from the Executive Director.
    • Pets are allowed, for a fee of $10+tax/pet/night, with prior approval, and must be paid for at time of reservation. Pets are allowed only in designated rooms due to allergy concerns and appropriate cleaning needs. GUESTS ARE REQUIRED TO PICK UP AFTER THEIR PET(S). Certified service animals will not incur
      pet fee.
    • Due to health and insurance regulations the Groves Lodge Kitchen is off limits to guests. Persons staying in the Manor House or Carriage House will have full use of those respective kitchens.
    • Guests not staying in the Manor House MUST HAVE PERMISSION from a Hospitality Representative before entering the Manor House due to the privacy needs of those guests or groups staying there and potentially using all rooms for meeting space. Tours with the history of the Manor House are available by appointment only.
    • Any illness of a guest while on the Olmsted property must be reported immediately to an Olmsted staff member. A mask mandate may be implemented if determined necessary to protect all guests and staff. If a member of a retreat group is determined to have a contagious illness while at Olmsted, special accommodations for isolation and/or other measures may be implemented for the safety of Olmsted staff and other guests.
